Managing Multiple Wordly Sessions and Usage
How to set up, share, and manage concurrent Wordly sessions from a single account
You can run several concurrent Wordly sessions and multiple presenters from a single Wordly account. For example, this is ideal for events with multiple breakout rooms that occur at the same time.
From one Wordly portal user account, you can:
- Run multiple concurrent sessions.
- Create one session per room and reuse it throughout the day or your entire event.
- Share session links with speakers or room operators so they can start and stop sessions without needing their own Wordly account or sign into your Wordly portal.
To run multiple sessions at the same time
- Create one session per room you will use during the event.
- Pin the sessions in your portal. This lets you easily find in the Upcoming section the sessions that you want to use for your upcoming event.
- Share the session link, to be found in “Get links to join”, “Presenter” section with the speaker or the device operator in that room so they can open the link and start the session. This way they do not need to sign in your Wordly Portal.
- Manually launch the session at the start of the meeting and manually end the session when the meeting finishes.
- Reuse the same room session for multiple workshops or talks in that room by starting and stopping it as needed.
Example
You have an event that has a keynote speaker in the morning and several breakout workshops throughout the day. To manage this, you create a session for each room that you're using:
- Ballroom
- Conference Room A
- Conference Room B
- Conference Room C
You create the sessions for the rooms instead of the individual breakout seminars, so you can reuse the same Wordly session for rooms throughout the day. In each room, you set up a device to run Wordly and sign into the session with a presenter link. Someone runs Wordly in each room, starting and stopping the session as needed, and splitting the transcript between speakers.
Best practices- Create one session for each physical room.
- Share session links with speakers or room operators so they can start/stop without signing in.
- Start and stop sessions manually to control minute usage.
- During breaks or portions of a meeting that don't require translation, mute the session using the microphone icon in Wordly to reduce minute usage.
- Share Wordly emergency line to the operators in case they need to help to troubleshoot.
Please note:
- The duration you enter in the portal doesn't affect actual session duration. You or someone running the Wordly session control how long the session is.
- Each session uses minutes while they are running. If you have 3 breakout workshops running at the same time that last 1 hour each, you'll spend a total of 3 hours in Wordly.
