Hosting a Zoom Meeting or Webinar
Use the Wordly App for Zoom to start a Wordly translation session for your attendees
The Zoom host is implied to be the same person who scheduled the Zoom meeting, and has already completed the installation and setup of the Wordly app for Zoom.
Prerequisites
- You must be the Zoom host and be the one who scheduled the Zoom meeting.
- Your Wordly App for Zoom must be linked to a Wordly account.
- You must have live streaming enabled (see Installing Wordly for Zoom).
- There must be enough minutes in your linked Wordly account to run the session.
- It is highly recommended that you and other meeting participants enable Original Sound in their Zoom preferences for the absolute best translation experience (see Restore Original Sound).
- You can't be in a Zoom breakout room (see the FAQ).
With Wordly App for Zoom, you can:
- Start a session.
- Add Wordly to a scheduled meeting.
- Share a session.
- Access Wordly in a browser.
- Manage speaker language.
- Transfer host duties.
Starting a Session
When you are the Zoom host, you start a translation session during a meeting by starting the Wordly App for Zoom.
The Zoom host must also be the one who scheduled the meeting in order to start a Wordly translation session due to restrictions on who can start streaming audio during a meeting.
To start a session
- After starting your Zoom meeting, click the Apps button.
- Click Wordly App for Zoom.
- Invite your attendees to open Wordly App for Zoom.
- Confirm the language for the first speaker in your meeting. This is the language Wordly will be translating from, and can be changed later in the meeting.
- Identify the session ID:
To use a pre-existing Wordly session, check the Specify a Session ID box and enter the session ID and passcode for that session.
To have a new Wordly session created, make sure that the Specify a Session ID box is cleared. - Click Start.
Zoom now live streams to Wordly, and your meeting participants will receive translations in the languages they have chosen.
Adding a scheduled meeting
Occasionally, there are situations when a host may wish to schedule a specific Wordly session for a scheduled Zoom meeting. This isn't necessary with the Wordly App for Zoom, but it's possible to schedule a Zoom meeting in advance with Wordly.
To add a scheduled meeting to Wordly
- Schedule the Zoom meeting.
- Copy the Zoom ID.
- Create a new session or edit an existing one in the Wordly portal.
- Add the Zoom ID to the Zoom field and save.
When the host starts the Wordly App for Zoom in this Zoom meeting, the app uses the connected Wordly session. This allows the host to share a Web browser attend link to this Wordly session beforehand.
Sharing the Wordly App for Zoom
As a meeting host, your participants will get the most out of your translation sessions if they are also using the Wordly App for Zoom. From Zoom, you can send a quick link to the app in the marketplace so that they can install it during your meeting.
Remember, anyone can access captions and translations within your hosted Zoom meeting, and users don't need a Wordly account or to download the Wordly App for Zoom.
To send a Wordly App for Zoom invitation
- After starting your Zoom meeting, click the Apps button.
- Click Wordly App for Zoom.
- Click the Zoom Send button.
- Participants will receive a quick link to open the Wordly App for Zoom during your meeting.
Accessing Wordly in a Browser
Sometimes, meeting participants will join using the browser version of Zoom. Wordly offers an alternate way for participants to access your hosted translation session in a Web browser.
Your attendees can access Wordly within Zoom after a Wordly session starts and live streaming. All participants can access a Wordly drop down menu at the top of their Zoom window and select to view the stream on Wordly. This opens the Wordly session in a web browser, and the participant can select the translation language they prefer.
As the host, you can also send your attendees a link to access Wordly.
To get a link for attendees
- From the Wordly window in Zoom, click the three dot menu (
) and select Wordly Attend Link.
- The link is now copied to your clipboard. You can send it to participants in an email or chat. Clicking this link opens the Wordly session in a web browser.
Managing the Speaker’s Language
When multiple languages are being used during a meeting, the current Zoom host must use the app’s Host Controls to tell Wordly when the language being spoken changes. This aids Wordly in understanding your meeting audio as accurately as possible. You can either manually select the language or allow Wordly to auto-detect the language with Automatic language selection.
To manage the speaker's language
- From the Wordly window in Zoom, go to Host Controls.
- Click Add Speaker Language and select the next language that will be spoken.
- The new language displays as a selected radio button. The selected radio button is the speaker language that Wordly currently expects.
- To quickly switch back and forth between languages, select the radio button for the next speaker’s language.
To activate Automatic language selection
- From the Wordly window in Zoom, go to Host Controls.
- Toggle on Automatic language selection.
- Add the languages that you want Wordly to detect. Languages that can be detected by Automatic language selection are marked with a Wordly sprite (
).

The Host Controls are visible to whoever the current Zoom meeting host is regardless if they are the one who started the translation session. Only the current host has access to these controls.
Transferring Host Duties
As the original Zoom host, you can transfer host duties to another attendee after starting a Wordly translation session. The new host should also use the Wordly App for Zoom in order to access to the Host Controls. The new host can also end the Wordly translation session at any time without ending the meeting.
Be aware that:
- The Wordly session continues to run after transferring host duties and will continue to draw minutes from the original host’s account even after they have left the meeting.
- Only the original Zoom host who scheduled the Zoom meeting can start a Wordly translation session. If the Wordly session ends, the original host will need to become the host again in order to start a new translation session.
Rejoining a Session
In rare circumstances, you may be inadvertently disconnected from an ongoing Wordly session and taken back to the session lobby.
You can rejoin the ongoing session by clicking the Join button.
If you are the host, then the Wordly session will still run for other meeting attendees even if you are inadvertently disconnected. This means that Wordly minutes are still being used.
Ending a Session
The Wordly App for Zoom translation session ends automatically when the Zoom meeting ends.
The current meeting host can also end a session at anytime without ending the Zoom meeting:
- From the Wordly window in Zoom, click the three dot menu (
).
- Select End Wordly Session.
- Click End to confirm.
The current host can end the Wordly session at anytime. They do not need to be the same person who started the translation session.
When the Wordly session ends, live streaming stops, and all participants, including the host, will stop seeing translations and be moved into the lobby.
