1.2 - Host Setup and Settings

Settings to host a Wordly translation session

Additional configuration is necessary if you wish to host Wordly translation sessions for your meeting participants. Specifically, you need to:

  • Link your Wordly App for Zoom to your Wordly account.
  • Enable “Live Streaming” in your Zoom account.

You must link the Wordly App for Zoom with your Wordly account if you want to host Wordly translation sessions during your Zoom meetings. Only a host with a linked Wordly account and enough available Wordly minutes can start a translation session.

Attendees in your meeting can join your translation session and experience translations through the Wordly App for Zoom without needing an account.

After installation, the Wordly app will offer various options for linking with your Wordly account. Not all options may be shown.

Wordly App for Zoom Linking Options

If the Wordly App for Zoom detects that your Zoom email address is being used by a Wordly account, the “Link Accounts” option will be offered as a quick way to link that account.

Just click the “Link” button and the Wordly App for Zoom will do the rest.

Sign in to Wordly

If you have a Wordly account but it uses a different email address, then you will have to sign in to that Wordly account so that the Wordly App for Zoom knows which account to use.

Clicking on the “Sign In” button will open the Wordly login page in your Web browser where you can sign in normally. Once you have signed in, Wordly will link your account and return you back to Zoom.

Register with Wordly

If you are new to Wordly, congratulations! You have found the best way to empower participants from around the world with realtime translation in Zoom meetings.

To begin hosting Wordly translation sessions, you will need to register for a Wordly account. Don’t worry, it is free to sign up, and you will get some free Wordly minutes for your first meeting.

Clicking the “Register” button will open the Wordly registration page in your Web browser where you can create a new account. Wordly will then setup your new account, link it with the Wordly App for Zoom, and then return you back to Zoom.

Enable “Live Streaming”

The Wordly App for Zoom will need access to the audio from your Zoom meeting so that it can listen to the speakers and translate what they are saying for the other participants.

The app uses the “Live Streaming” feature in Zoom to access your Zoom audio. Therefore, you need to enable Live Streaming before you can host your first Wordly translation session.

To enable Live Streaming:

  1. Sign in to Zoom and go to your settings. Zoom Settings
    • If you are starting on the Zoom Website, this will be under “Personal » Settings.”
    • If you are starting from Zoom, this will be under “Preferences » General » View More Settings.”
  2. Scroll down and look for “Allow Live Streaming.” Zoom Streaming Toggle
    • Make sure “Allow Live Streaming” is on.
    • Select “Custom Live Streaming Service.”

Now you should be all ready to go!

  2. Click on the “My Account” menu found at the top-right corner. My Account Menu
  3. Click on the “Unlink Wordly Account.” Unlink Wordly Account
  4. In the popup that appears, confirm that you want to unlink your Wordly account. Unlink Wordly Account Confirmation

After unlinking your Wordly account, you can link to the same Wordly account or a different one by following the steps outlined in Link With Your Wordly Account.

1.3 - Minutes

Purchase Wordly translation minutes

A host is required to have enough minutes in their linked Wordly account to cover the translation sessions they host.

Purchase Wordly Minutes

Purchase Minutes

Outside of a meeting, you can click on the “Purchase Minutes” button from within the Wordly App for Zoom assuming that you have linked your Wordly account. This will open the Wordly Portal in a Web browser where you can purchase more minutes.

Alternatively, Wordly minutes can be purchased at any time through the Wordly Portal.

If you would like to explore subscription and volume discounts, please contact Wordly at sales@wordly.ai.

2 - Using the Wordly App for Zoom

Experience realtime translations through the Wordly App for Zoom while in a Zoom meeting

The Wordly App for Zoom processes audio from your Zoom meeting in realtime and translates what is being said into the languages requested by other meeting participants who have joined.

The Zoom meeting host is able to start a Wordly translation session that meeting attendees can join. They are responsible for providing Wordly minutes to run the translation session within the Zoom meeting. The host also receives translations in the languages that they choose.

With the Wordly App for Zoom, meeting attendees are able to join a Wordly translation session started by the host. They will receive translations in the languages that they choose. Attendees do not need a Wordly account and are not charged Wordly minutes when joining an ongoing translation session.

While both the Zoom host and attendees share the same basic translation experience during a Zoom meeting when using the Wordly Aoo for Zoom, the Zoom host is able to manage a few additional features during the meeting.

Visit the appropriate topic below to learn more about how you can enhance your meeting experience with the Wordly App for Zoom depending on if you are a host or an attendee.

2.1 - Hosting a Wordly Session

Use the Wordly App for Zoom to start a Wordly translation session for your attendees

The Zoom meeting host can easily start a Wordly translation session at any time over the course of a meeting. Other attendees will only be able to access translations using the Wordly App for Zoom after the meeting host has started a Wordly session.

Prerequisites

It is easy to start translation sessions, but there are a few prerequisites:

  1. You must be the Zoom host and be the one who scheduled the Zoom meeting.
  2. Your Wordly App for Zoom must be linked to a Wordly account:
    • New Wordly sessions will be created using this account.
    • Wordly minutes will be drawn from this account.
    • Transcripts, if requested, will be saved into this account.
    • For more information, see [Link With Your Wordly account](/zoom/Getting started/host-setup.md#link-with-your-wordly-account “Link Your Wordly Account”).
  3. You must have “Live Streaming” enabled (see [Enable Live Streaming](/zoom/Getting started/host-setup.md#enable-live-streaming “Enable Live Streaming”)).
  4. There must be enough minutes in your linked Wordly account to run the session.
  5. It is highly recommended that you and other meeting participants enable Original Sound in their Zoom preferences for the absolute best translation experience (see [Use Original Sound](/zoom/Best practices/audio.md#use-original-sound" “Use Original Sound”)).
  6. You cannot be in a Zoom breakout room (see the FAQ)

Starting a Session

When you are the Zoom host, starting a translation session during a meeting is as simple as starting the Wordly App for Zoom.

  1. Click on the “Apps” button after starting your Zoom meeting. The Apps button inside Zoom
  2. Click on “Wordly App for Zoom”. The Wordly App for Zoom button
  3. Confirm the language for the first speaker in your meeting. This is the language Wordly will be translating from, and it can be changed easily in the meeting. Select speaker’s language
  4. (Optional) If you leave “Specify a Session ID” unchecked, then a new Wordly session will automatically be created for your Zoom meeting. However, if you’d like to use a pre-existing Wordly session, you can check the box and enter the session ID and passcode for that session instead. Using an existing Wordly session
  5. Click “Start” to start the Wordly translation session.

The last step will start “Live Streaming” to Wordly, and your meeting participants will begin receiving translations in the languages they have chosen.

Managing the Speaker’s Language

Wordly needs to know the language that speakers in your meeting will be using. By default, the Wordly App for Zoom assumes that speakers in a meetings will be using the default language specified in the host’s Wordly account. The app will prompt you to confirm this language prior to beginning a session.

When multiple languages are being used during a meeting, the current Zoom host must use app’s “Host Controls” to tell Wordly when the language being spoken changes. This will aid Wordly in understanding your meeting audio as accurately as possible.

The “Host Controls” are visible at the bottom of the Wordly App for Zoom window. They show the current language being spoken. You may need to expand the “Host Controls” by clicking on the tab icon if they are not already visible.

Expand Host Controls

To tell Wordly that a new language is being spoken in the meeting: Add a Speaker Language

  1. Click “Add Speaker Language.”
  2. Select the next language that will be spoken.
  3. The new language will appear as a selected radio button. The selected radio button is the speaker language that Wordly currently expects.
  4. To quickly switch back and forth between languages, simply select the radio button for the next speaker’s language.
  5. To add more language options to quickly select between, repeat steps 1 and 2.

Ending a Session

The Wordly App for Zoom translation session will end automatically when the Zoom meeting ends.

The current meeting host can also end a session at anytime without ending the Zoom meeting: End Wordly Session

  1. Open the app menu by clicking the “three vertical dots.”
  2. Select the red “End Wordly Session” option.
  3. Click “End” to confirm.

When the Wordly session ends, “Live Streaming” will stop, and all participants, including the host, will stop seeing translations and be moved into the lobby.

Start Button

The Zoom host can start a new session by clicking on the “Start” button in the lobby as long as they are the same person who scheduled the meeting.

Transferring Host Duties

As the original Zoom host, you can freely transfer host duties to another attendee after starting a Wordly translation session. Assuming the new host is also using the Wordly App for Zoom, they will now have access to the “Host Controls.” The new host can also end the Wordly translation session at any time without ending the meeting.

Rejoining a Session

In rare circumstances, you may be inadvertently disconnected from an ongoing Wordly session and taken back to the session lobby.

You can rejoin the ongoing session by clicking on the “Join” button.

Rejoin Meeting

Sharing the Wordly App for Zoom

As a meeting host, your participants will get the most out of your translation sessions if they are also using the Wordly App for Zoom. Remember, anyone can install the app for free, and users do not need a Wordly account to see translations of your hosted meetings.

Zoom includes an easy way to send the Wordly App for Zoom to participants in your meeting. They receive a quick link to the app in the marketplace so that they can install it during your meeting.

To send a Wordly App for Zoom invitation:

  1. Click the Zoom “Send” button. Send Wordly App for Zoom
  2. Participants will receive a quick link to install and open the Wordly App for Zoom during your meeting. Accept Wordly App for Zoom

Wordly in a Browser

Sometimes, meeting participants do not have the Wordly App for Zoom and cannot install it during your meeting. Wordly offers an alternate way for participants to access your hosted translation session in a Web browser.

After a Wordly session starts and “Live Streaming” begins, all participants can access a streaming menu in Zoom:

Zoom Streaming Menu

  1. Any participant can select “View Stream on Wordly.” This will open the Wordly session in a Web browser, and the participant can select the translation language they prefer.
  2. The host can select “Copy Streaming Link” and send this link to participants in an email or chat. Clicking on this link will also open the Wordly session in a Web browser.

Scheduling in Advance

Occassionally, there are situations when a host may wish to schedule a specific Wordly session for a Zoom meeting in advance. In general, this is not necessary with the Wordly App for Zoom, but it is possible using the following steps:

  1. Schedule the Zoom meeting. Schedule Zoom Meeting
  2. Note the Zoom meeting ID. Zoom Meeting ID
  3. Schedule a session in the Wordly Portal and add the Zoom meeting ID. Schedule Wordly Session

When the host starts the Wordly App for Zoom in this Zoom meeting, it will use the connected Wordly session. This allows the host to share a Web browser attend link to this Wordly session in advance.

Share Attend Link

2.2 - Attending a Wordly Session

Use the Wordly App for Zoom to attend a meeting

Any Zoom meeting participant can use the Wordly App for Zoom to join an ongoing Wordly translation session for that meeting. Only the Zoom host who scheduled the meeting can start the Wordly translation session.

Prerequisites

It is easy to join an existing translation session, but there are a few prerequisites:

  1. It is highly recommended that you enable Original Sound in your Zoom preferences for the absolute best translation experience (see [Use Original Sound](/zoom/Best practices/audio.md#use-original-sound “Use Original Sound”)).
  2. You cannot be in a Zoom breakout room (see the FAQ)

Zoom allows others to send you an invitation to use the Wordly App for Zoom. When they do, you will receive a notification like the following:

Accept Wordly App for Zoom

Accept the invitation by pressing “Open” to begin receiving all of the benefits that the Wordly App for Zoom provides.

Joining a Session

As soon as the app starts up in your meeting, it will automatically join the translation session started by the Zoom host. After joining, you will begin seeing translations in the language you have chosen.

If the host has not started a Wordly session, then the app will keep trying to join for a short while. If no session starts, you will end up in the session lobby. The lobby will show a “Join” button for you to click once the host starts a Wordly session.

The Join button

Choosing a Language

The Wordly App for Zoom allows participants, including the host, to view translations in a large number of different languages, depending on their preference.

To change the translation language, click on the “Translate To” control near the top of the Wordly App for Zoom window:

3 - Best Practices

Get the most out of the Wordly App for Zoom

Observing the following best practices will help ensure that you get the highest quality results while using the Wordly app. Visit each topic for more information.

3.1 - Audio Quality

Ensure that speaker audio quality is the best it can be by following these tips

The Wordly App for Zoom will give the best results when it receives high-quality audio. Speech is much easier to understand when audio is good and translation will suffer if the original speech is not correctly understood.

Limit Noise

  • Encourage speakers to use external microphones (headset, earbuds, boom mic, etc.) that capture voices close to the mouth. Internal laptop microphones tend to capture more room noise, computer fan noise, etc. which signficantly degrades audio quality.
  • Speakers should avoid noisy environments and background music as these make it harder to recognize and accurately translate what is being said.

Speak Clearly

  • Speakers should speak at a normal speed and at a volume that is easy to hear. For some users, speaking just a little bit louder can improve translation significantly.
  • Speakers should avoid talking over each other.

Use Original Sound

Wordly strongly recommends that all meeting participants, including the host, enable the “Original Sound” setting in Zoom. Overly active noise suppression and compression can reduce translation accuracy under some conditions.

To enable the “Original Sound” control inside Zoom while in a meeting: Zoom Original Sound

  1. Click on the green shield in the top left corner.
  2. Click on the grey gear in the top right of the Meeting Info popup. This will open settings.
  3. From the left-hand menu, select “Audio.”
  4. Under Music and Professional Audio, select “Show in-meeting option to enable Original Sound."

Once the “Original Sound” control is enabled, it will be visible during Zoom meetings. To turn on “Original Sound” during a meeting:

  1. Click the “Original Sound” Off dropdown. Zoom Original Sound Off
  2. Select the microphone you want to use with Original Sound On.
  3. Original sound should now be on. Zoom Original Sound On

3.2 - Glossaries

Creating a glossary is simple and can greatly improve the recognition of names and acronyms that you use regularly

A Wordly glossary can help to improve both the accuracy of understanding what the speaker is saying and the quality of the resulting translation.

Glossaries are created and managed in the Wordly Portal. To create a glossary:

  1. Go to https://portal.wordly.ai and select “Glossary” from the left-hand navigation menu. Wordly Glossary
  2. Click “+Add Glossary” near top right corner of the screen.
  3. Select the language of the words you want to add. You can add more languages into your Glossary by clicking “+Add Language”.
  4. Add words or phrases for each language. There should be one word or phrase per line.
  5. Click “Set as Default” if you want this glossary to be selected automatically for your future Wordly sessions.
  6. Click “Save”.

A boost glossary Boost Glossary Tab is a list of words that a speaker might say but are not common in the language the speaker is using. Adding a word to the boost glossary increases the likelihood that the word will be recognized correctly.

Good words to add to a boost glossary include unusual terminology for your organization, such as the names of people, products, and groups. Acronyms are also good candidates for a glossary.

A block glossary Block Glossary Tab is a list of words that a speaker might say that are not appropriate for or wanted in the meeting space. Adding a word to the block glossary removes the word from the translation and transcription.

A replace glossary Block Glossary Tab is a list of words that Wordly should replace with other words. Using “[word here] -> [replacement here]” (with one replacement per line), the replace glossary forces the AI to use your desired words or translations.

For example, if talking about a 4D experience you might type “forty -> 4D” to make sure 4D is not recognized and translated as forty. Names can also sometimes cause issue. For example, with the last name Firby, you’d want to avoid it getting recognized as the toy Furby, and thus, should add “furby -> Firby” to your replacement list.

Replace Glossary

3.3 - Track Speaker Language

Have the meeting host keep the Wordly App for Zoom informed about the current speaker language so that Wordly will perform at its best

It is very important that the Wordly app knows the language that the current speaker is using. The most common problem when translation seems extremely poor is that these languages are not in sync.

Track Speaker Languages

  • Speakers should use one language at a time and consistently speak that language. It is unfair to any interpreter to switch languages mid-sentence or mid-paragraph.
  • For multilingual meetings, the host should ask participants to raise their hand when they want to speak. They should also request a new language when they want to switch so the host can change languages accordingly.
  • For large meetings, have attendees raise their hand and send language requests via Q&A.
  • The host must change the speaker language (the language Wordly expects to hear and translate from) every time the speaker changes to a new language. Wordly will adjust within a couple of seconds. See [Managing the Speaker’s Language](/zoom/Using wordly/hosting.md#managing-the-speakers-language “Managing the Speaker’s Language”) for more information.

5 - FAQ

Frequently asked questions about the Wordly App for Zoom

1) What languages does Wordly support?

Wordly supports a wide variety of languages. See supported languages for a complete list.

2) Can Wordly understand different user accents?

Yes. Wordly can understand different speaker accents. Wordly’s AI models are trained with datasets that include speakers from different areas that speak each language.

3) Can participants change the language they want to read along in?

Yes. While in a session, attendees can change to any of the supported languages at any time without exiting the session. See [Choosing a Language](/zoom/Using wordly/attending.md#choosing-a-language “Choosing a Language”) for more information.

4) Do I need a Wordly account to use the Wordly App for Zoom?

Depends. If you are only joining a Wordly translation session being hosted by someone else, then a Wordly account is not needed.

However, if you wish to host a Wordly translation session within your own Zoom meeting for others to join, then you must have a Wordly account and have enough minutes to run the session.

5) How can I access meeting transcripts?

The host can choose to save or not save a transcript of each Wordly session. The transcripts can be found in the Wordly Portal and can be downloaded in several formats: plain text, text with timestamps, and closed caption compatible Web VTT.

To download a transcript, the host can go to their Wordly account at https://portal.wordly.ai, select “Transcripts” from the left hand menu, locate the session in question, and click the download button.

6) Can I get transcripts in other languages?

Transcripts are only accessible to the host in the original languages spoken during the meeting.

7) Can I listen to translations during a session?

The Wordly App for Zoom does not currently support spoken output in translated languages.

However, the browser based attend.wordly.ai interface does support spoken output. This interface is accessible via the “Live on Wordly” streaming links. See [Wordly in a Browser](/zoom/Using wordly/attending.md#wordly-in-a-browser “Wordly in a Browser”) for more information.

8) Does the Wordly App for Zoom work in breakout rooms?

Unfortunately, the Wordly App for Zoom does not support Zoom breakout rooms at this time. In order to provide translations, Wordly needs access to the audio stream, which Zoom does not make available in breakout rooms.

9) Can I use the Wordly App for Zoom on my iOS and/or Android devices?

Yes! As of version 1.6.0, the Wordly App for Zoom can be opened within the official Zoom client app on mobile devices.

6 - Troubleshooting

Things to check when the Wordly App for Zoom isn’t working

The Wordly translation session won’t start in Zoom.

  1. Are you the Zoom meeting host, and did you schedule this meeting? Only the Zoom host who scheduled the meeting can start a translation session.
  2. Have you linked your Wordly and Zoom accounts? A Wordly account that is linked with your Zoom account is required to start a translation session (See [Link with your Wordly account](/zoom/Getting started/host-setup.md#link-with-your-wordly-account" “Link Your Wordly Account”)).
  3. Do you have enough minutes in your Wordly account?
  4. Is your internet connection stable?
  5. If you’ve previously started a Wordly translation session in this meeting, you may need to wait a minute or two before trying again.
  6. Have you enabled live streaming in your Zoom account settings (See [Enable Live Streaming](/zoom/Getting started/host-setup.md#enable-live-streaming “Enable Live Streaming”))?
  7. Are you in a breakout room? Breakout rooms are not supported at this time because audio cannot be streamed from them.

Translation quality is poor.

  1. Is the speaker language set to the language your presenter is speaking in (see [Managing the Speaker’s Language](/zoom/Using wordly/hosting.md#managing-the-speakers-language “Managing the Speaker’s Language”))?
  2. Have you enabled “Original Sound” in your Zoom preferences (see [Use Original Sound](/zoom/Best practices/audio.md#use-original-sound “Use Original Sound”))?
  3. Are you using a microphone close to your face?
  4. Are participants enunciating, speaking at a moderate pace, and occasionally pausing between sentences?
  5. Have you minimized background noise (music, traffic, etc.)?
  6. Are speakers taking turns (not talking over each other)?
  7. Does the speaker have a stable internet connection?
  8. Have you created a personal glossary to cover unusual terms, people names, product names, jargon in your field (see [Glossaries](/zoom/Best practices/glossaries.md “Glossaries”))?

Wordly minutes are being consumed faster than expected.

  1. Have you ended the Wordly session when you’re done with translation? Minutes will continue to be consumed until the Wordly session or Zoom meeting is ended. (See [Ending a Session](/zoom/Using wordly/hosting.md#ending-a-session “Ending a Session”))
  2. Have you purchased enough minutes to meet your team’s needs?

The Wordly App for Zoom won’t load.

  1. Check the [Prerequisites](/zoom/Getting started/installation.md “Prerequisites”) to ensure that your account and OS are capable of running Zoom Apps.

The Wordly App for Zoom says it is reconnecting.

This message will appear if the app is unable to communicate with the Wordly service over the Internet. The app will continually attempt to reconnect when in this state.

  1. Check your network connection and ensure that you are connected to the Internet.
  2. Try leaving the Wordly session and rejoining it.
  3. Check the Wordly Statuspage to see if Wordly is currently experiencing downtime.

The Wordly App for Zoom says that live streaming is disabled for meetings.

  1. Ensure that you have enabled live streaming in your Zoom account settings (See [Enable Live Streaming](/zoom/Getting started/host-setup.md#enable-live-streaming “Enable Live Streaming”)). You will need to refresh the app after enabling live streaming.

The Wordly App for Zoom says that breakout rooms are not supported.

Unfortunately, breakout rooms are currently not supported. In order to provide real-time translations, the Wordly App for Zoom needs access to the audio stream which is currently not available in breakout rooms.

You will need to leave the breakout room in order to continue using the Wordly App for Zoom normally.

I’ve accidentally linked to the wrong Wordly account or need to use a different one.

To link to a different account from within the Wordly App for Zoom, first [unlink your existing Wordly account](/zoom/Getting started/host-setup.md#unlinking-accounts “Unlinking Accounts”) and then [link the other Wordly account](/zoom/Getting started/host-setup.md#link-with-your-wordly-account “Link With Your Wordly Account”) that you want to use.

Error message: Unauthorized request

If you encounter this error, you might be logged out or logged into the wrong Zoom account. To fix this, log into the Zoom account linked to your Wordly account. To check which accounts are linked, go to the Zoom client home screen and select “Apps”. Click on the Wordly app and there you should see the email(s) linked to your Wordly and Zoom accounts.

Example unauthorized request error

Error message: User already associated with Wordly account

If you come across this error while trying to link your Zoom and Wordly accounts, the solution is to disconnect your Wordly account from the other Zoom account.

-Go to Zoom and select Managing Zoom Apps (or follow this link)

-Go to Added Apps

-Go to Wordly Translations App and click “Remove” Zoom Added Apps Window

-A popup window will appear asking you to confirm the removal. You do not have to supply a reason. Zoom remove app popup

-Go to Zoom Marketplace link, then click “Add for Myself”.

Zoom add for self or others

-Note: If you are an admin, you must click Add for Myself and Add for Others. Just clicking Add for Others and insterting yor email will not work.

-Open your Zoom app, go to “Apps”, then click Wordly and click Link Wordly Account to relink the accounts.

Error message: this account is already being used

When linking Zoom and Wordly accounts, you may encounter this error, which means that the Wordly account you are attempting to link is already connected to a Zoom account. Log into that Zoom account and follow the steps above for unlinking the Wordly and Zoom accounts.

Unfortunately, Wordly cannot tell you which Zoom account your Wordly is connected to. If you cannot identify or log into the correct Zoom account in order to unlink the accounts, contact Wordly, and our team will be able to manually unlink the accounts through a backend process.
